If you sync by product or tag, only matching orders count against your limit. ## Backfilling old orders Regardless of plan, pulling in orders that existed *before* you set up sync rules (via **Sync Old Orders**) is billed per order through Shopify's usage-based billing, at the rate shown on that screen at the time you sync. See [Order Sync](/orders/02-order-sync) for details. ## Changing plans * **Upgrading**: go to **Plans**, choose **Basic Plan**, and approve the Shopify billing confirmation. * **Downgrading**: click **Downgrade** on the Free Plan card. If you're above the Free Plan's limits (e.g. over 100 MB storage), reduce usage first, or the affected features (like uploads) may be restricted until you do. # Notification Settings Source: https://proof-manager-docs.geticonicapps.com/email-notifications/01-notification-settings Configure the automatic emails sent to customers and to you **Email → Email Notifications** controls every automatic email the app can send, with a live **Design Preview** so you can see changes before saving. Email notification settings with design preview ## Notification types Each notification has its own on/off toggle, subject line, sender name, and (where applicable) sender email: | Notification | Sent to | Triggered when | | ------------------------------ | -------- | ------------------------------------------------------------------------------ | | **Customer New Order Message** | Customer | A new order is synced — invites the customer to submit details for their proof | | **Customer New Message** | Customer | You send a new message on their order | | **Customer Proof Revision** | Customer | You reattach a revised proof file to the same conversation | | **Customer Order Status** | Customer | You change the order's merchant status | | **Merchant New Message** | You | The customer sends a new message | | **Merchant Order Status** | You | The customer approves or rejects a proof | The **Customer New Order Message** (labeled *Customer New Order Message* on the toggle list) is the entry point for the whole workflow — if it's off, customers on newly synced orders won't know they need to submit details or view their proof unless you message them directly. ## Editing a template For each notification you can set: * **Subject** — the email subject line * **Sender name** — the name shown in the customer's inbox * **Sender email** — used as the Reply-To address when sending from the app's default mail; configure [Custom SMTP](/email-notifications/02-custom-smtp) to send *from* your own address instead * **Design** — the email body, edited in the rich text editor with the **Design Preview** on the right ### Placeholders Click a placeholder chip to insert it into the template — it's replaced with real order data when the email is sent: | Placeholder | Inserts | | -------------- | ------------------------------------------------ | | `Order Number` | The Shopify order number | | `Client Name` | The customer's name | | `Message` | The message content (for message-related emails) | | `Store Name` | Your store name | Click **Save** under each section to store your changes, or **Reset** to restore the default template. ## Email logo Under **Email Logo**, upload an image to replace the default logo shown at the top of every notification email. Set the display **width** and **height** in pixels, then **Save**. Use **Reset** to remove your custom logo and go back to the default. # Custom SMTP Source: https://proof-manager-docs.geticonicapps.com/email-notifications/02-custom-smtp Send notification emails from your own email address By default, notification emails are sent from the app's shared mail service, using your **Sender email** as the Reply-To address. If you'd rather send from your own domain or mailbox, configure **Custom SMTP** in **Email → SMTP Settings**. Click **Verify** to test the connection before saving. This confirms the app can authenticate with your mail server without sending anything yet. Click **Send test email** to deliver a sample message and confirm end-to-end delivery. Once verified, click **Save**. From now on, all notification emails send through your SMTP server instead of the app's default mail, and your **Sender email** fields are replaced by your SMTP username. Each step has a **Mark as complete** link once you've finished it. ### Step 1 — Enable Theme App Embed Turns on the floating chat widget across your storefront via Shopify's Theme App Embed. Without this enabled, customers have no way to open the chat widget. See [Adding the Widget to Your Theme](/storefront-widget/02-adding-the-widget). ### Step 2 — Sync Orders Choose how orders flow into your dashboard: every order, only orders containing specific products, or only orders with specific tags (you can combine product and tag rules). Orders dashboard with Order Summary and Orders table ## Order Summary A rolling 30-day snapshot of your synced orders, broken down by your **merchant status**: | Card | Meaning | | ---------------- | -------------------------------------------------- | | **Total Orders** | All orders synced in the last 30 days | | **Waiting** | You haven't reviewed/responded yet | | **Approved** | You've marked the order as accepted | | **Rejected** | You've marked the order as rejected | | **Not Started** | Default status right after sync, before any action | ## The Orders table Each row is one synced order. Use the tabs (**All**, **Awaiting proof**, **Sent**, **Accepted**, **Rejected**) to filter by status, or type in the **Filter orders** box to search by order name, date, or customer name. Click any column header to sort. Columns: * **Order Name** — the Shopify order number * **Date** — when the order was placed * **Customer** — customer name * **Status** — Shopify's fulfillment status (e.g. Unfulfilled) * **Customer status** — what the *customer* has done: `Not selected`, `Pending`, `Approve`, `Reject` * **Merchant status** — what *you've* set: `Not Started`, `Awaiting proof`, `Accepted`, `Rejected` * **Unread message** — count of unread messages from the customer Select one or more orders with the checkboxes to use **More actions**, such as deleting orders from your dashboard (this only removes them from the app — it does not affect the order in Shopify). Customer status and merchant status are tracked independently. A customer can approve a proof while you still have the order marked "Awaiting proof" until you update it — see [Managing an Order](/orders/03-managing-an-order). Click any order row to open its conversation — covered in [Managing an Order](/orders/03-managing-an-order). # Order Sync Source: https://proof-manager-docs.geticonicapps.com/orders/02-order-sync Control which Shopify orders flow into the app Go to **Settings → Order sync** to control which orders get pulled in for proof management. New orders that match your rules sync automatically going forward; you can also backfill older orders. Order Sync settings screen ## Choose which orders to sync Under **Sync Orders**, pick one mode (or combine Product and Tag): Every order placed on your store is synced. This is the default. Only orders that contain specific products are synced. Search and select products from your catalog. Only orders with specific tags are synced. You can also set **excluded tags** — orders carrying those tags are skipped even if they'd otherwise match. Tag-based syncing is the most common setup for stores where only *some* products are made-to-order — tag those orders (manually or with automation) and only they'll show up for proofing. ## Sync old orders New installs only pick up orders going forward. If you have existing unfulfilled orders that need proofs, use **Sync Old Orders**: 1. Enter the **number of orders** to pull in. 2. Review the **payable amount** — backfilling old orders is billed per order (shown live as you type, in your store's currency). 3. Click **Sync Orders**. Syncing old orders is a metered action billed through Shopify — you'll see the charge amount before confirming. Orders already synced are automatically excluded, so re-running this won't double-charge you. Click **Synced history** to see a log of past backfill runs with the date, number of orders, and amount charged. # Managing an Order Source: https://proof-manager-docs.geticonicapps.com/orders/03-managing-an-order Chat, share proofs, and update status on an individual order Clicking an order in the dashboard opens its conversation — this is where you talk to the customer, share proofs, and control the order's status. Order detail page with chat, customer panel, order status, notes and tags ## Chat thread The center panel is a two-way message thread with the customer, grouped by date. To send a message: 1. Type in **Enter your message**, or pick a saved reply from **Please select quick response** (see [Quick Responses](/settings/04-quick-responses)). 2. Optionally drag a proof file into **Drop files here or Browse** — images and PDFs are supported (see [Plans & Pricing](/billing/01-plans-and-pricing) for file-type and storage limits by plan). 3. Click **Send**. Whenever you reattach a file to the same message thread, the customer sees it as a **proof revision** — useful when you're iterating on a design based on their feedback. If you've enabled **Invoice** in [General Settings](/settings/01-general-settings), you can also send a payment link for extra customization charges from this same panel. ## Customer panel The right-hand sidebar shows: * **Customer** — name and email, plus their current **Design status** (`Approve` / `Reject` / pending) * **Order Status** — a dropdown you use to set the *merchant-side* status (`Not Started`, `Awaiting proof`, `Accepted`, `Rejected`). Click **Update** to save. * **Order Notes** — a free-text field for internal notes only you can see, saved back to the order. * **Tags** — add or remove Shopify order tags directly from here; press Enter after typing a tag, then **Save**. Order Status here is independent from the customer's own approval/rejection. Use it to track your internal workflow (e.g. "Awaiting proof" until you've sent something, "Accepted" once you're ready to fulfill) regardless of what the customer has done yet. ## Unread messages New customer replies are flagged with an unread count on the dashboard's Orders table, and the order list is sorted to surface unread conversations first. # General Settings Source: https://proof-manager-docs.geticonicapps.com/settings/01-general-settings Instructions, customer approval visibility, invoicing, and storage All configuration lives under the **Settings** tab, split into six areas: General, Design, Email notifications, Language, Order sync, and Quick Responses. General settings screen ## Instruction A short message shown to customers explaining how to follow up on their order and approve a proof. Use this to set expectations — for example, how long proofs usually take, or what info you need from them. ## Customer Status Toggle **Customer status option is visible** to let customers approve or reject a proof from the widget. This only becomes visible to a customer *after* you've sent them a proof file — so turning it off simply hides the approve/reject control if you'd rather manage approvals over chat instead. ## Invoice Toggle **Invoice option is enabled** to allow sending an invoice link to the customer from the order chat — useful for collecting extra charges for customization work once a proof is approved. ## Storage Shows how much of your plan's media storage you've used. Files attached to conversations (both by you and by customers) count against this limit. Once storage is full, uploads are blocked until you free up space or upgrade your plan — see [Plans & Pricing](/billing/01-plans-and-pricing). Don't forget to click **Save** after making changes. # Design Settings Source: https://proof-manager-docs.geticonicapps.com/settings/02-design-settings Match the chat widget's fonts and colors to your store **Settings → Design** controls the visual style of the storefront chat widget, so it feels native to your theme rather than bolted on. Design settings screen with fonts and color schemes ## Fonts Set separate **Heading font** and **Body font**, each with its own weight (e.g. Regular, Bold). Pick from the available web font library, or click **Reset** to return to the defaults. ## Colors Colors are grouped by where they apply: | Group | Controls | | ------------------------ | -------------------------------------------------------------- | | **Chat** | Primary and secondary accent colors used throughout the widget | | **Chat widget** | Text color and background color of the message panel | | **Button** | Text color and background color of action buttons (e.g. Send) | | **System message color** | Color used for system/status messages inside the chat | Click a color swatch to open the picker, adjust as needed, and click **Save**. Use **Reset** to revert the whole color scheme to defaults. Match your primary button color to your theme's accent color, and keep chat widget text/background high-contrast — the widget doesn't inherit your theme's CSS automatically, so these settings are the only way to keep it on-brand. # Language Settings Source: https://proof-manager-docs.geticonicapps.com/settings/03-language-settings Translate or reword every label and message in the widget **Settings → Language** lets you rewrite every piece of text the chat widget shows — useful for translating the widget into your store's language, or simply changing the tone of voice. These settings only change the storefront widget's text — they don't affect email notification content, which is edited separately in [Notification Settings](/email-notifications/01-notification-settings). # Quick Responses Source: https://proof-manager-docs.geticonicapps.com/settings/04-quick-responses Reusable canned replies for the order chat **Settings → Quick Responses** stores reusable message templates so you don't have to retype common replies for every order. Quick Responses list with edit and delete controls ## Managing your responses * Click **Add Quick Responses Message** to create a new canned reply. * Use the pencil icon to edit an existing one, or the trash icon to delete it. Once saved, every quick response appears in the **Please select quick response** dropdown on an order's chat screen (see [Managing an Order](/orders/03-managing-an-order)) — selecting one drops the text straight into your message box, ready to send or tweak before sending. Good candidates for quick responses: shipping-time confirmations, requests for more design details, thank-you messages after approval, and standard rejection follow-ups asking for revision notes. # Customer Experience Source: https://proof-manager-docs.geticonicapps.com/storefront-widget/01-customer-experience What shoppers see when they use the chat widget Customers interact with their order proof through a chat widget on your storefront — no account required, though logged-in customers get a smoother experience. ## Looking up an order (guest) If a customer isn't logged in, the widget asks for their **Order Number** and **Email** before showing the conversation. This confirms they're the right person to view and approve that order's proof. Guest order lookup form asking for order number and email ## Logged-in customers If a customer is logged into their account, the widget skips the lookup form and shows their order(s) directly, with a sidebar to switch between multiple orders. Chat widget after customer login, showing order list and conversation From here, the customer can: * Read your messages and any attached proof files * Reply with a message, and attach their own files (e.g. reference images) via drag-and-drop or **Browse** * See the current **Order Status** and **Customer Status** (their own approval/rejection) * Pay an invoice, if you've sent one, via a **Pay your purchase** link ## Order and customer status * **Order Status** reflects your (merchant) status for the order. * **Customer Status** is set by the shopper — they approve or reject once you've sent a proof. This only becomes visible to them after you attach a proof file, if you've enabled that behavior in [General Settings](/settings/01-general-settings). All of the labels shown in the widget — the heading, button text, and validation messages — are editable; see [Language Settings](/settings/03-language-settings). The colors and fonts are editable in [Design Settings](/settings/02-design-settings). # Adding the Widget to Your Theme Source: https://proof-manager-docs.geticonicapps.com/storefront-widget/02-adding-the-widget Enable the theme app embed and place the widget on specific pages The chat widget reaches your storefront in two ways, and most stores use both together. ## 1. Theme App Embed — the floating chat bubble This is the fastest way to give every customer access to the widget, as a floating bubble in the corner of every page. In Shopify admin, go to **Online Store → Themes → Customize**. Click the app embeds icon in the left sidebar (looks like a puzzle piece / toggle list). Find **Product Proof Manager** in the list and toggle it on. Click **Save** in the theme editor. The chat bubble now appears across your storefront. This is exactly the **Enable Theme App Embed** step in your dashboard's [Setup Guide](/getting-started/03-setup-guide) — completing it there and here is the same action. ## 2. App block — an inline widget on a specific page If you'd rather show the full widget embedded in the page layout (instead of, or in addition to, the floating bubble) — for example on your order status page or the customer account order page — add it as a section block. In the theme editor, navigate to the page where you want the widget — commonly **Order status** or **Customer account → Order**. Click **Add block** (or **Add section**) and choose **Product Proof Manager** from the Apps list. Use the **Top margin** and **Bottom margin** sliders to fit the widget into the page layout. Click **Save**. You can add the block to more than one template if you want the widget visible in multiple places — for example both the order status page and the customer's order history page.
